1. Acceptance of these terms

These Terms of Service (the “Terms”) govern your access to and use of ASTRATICKETLOOP (the “Platform”, “we”, “us”, “our”). By creating an account, buying a ticket, listing an event, or otherwise using the Platform, you agree to these Terms. If you do not agree, please do not use the Platform.

You must be able to form a legally binding contract to use the Platform. Event organizers must be at least 18 years old (or the age of majority in their jurisdiction).

2. What ASTRATICKETLOOP is

ASTRATICKETLOOP is a technology platform and marketplace that lets event organizers publish events and sell tickets, and lets attendees discover events and buy tickets. We provide the software, ticketing, check-in tools and payment facilitation.

The agreement to attend an event is between the attendee and the organizer of that event. We are not the organizer or host of events listed by third parties, and we are not responsible for an event taking place, its content, or its conduct, unless we are expressly named as the organizer.

3. Your account

You are responsible for the information you provide and for keeping your login credentials secure. You are responsible for activity that happens under your account. Tell us promptly at support@astraticketloop.com if you suspect unauthorized use.

We may suspend or close accounts that breach these Terms, create risk for other users, or are used for fraud.

4. Tickets

A ticket is a limited, revocable licence to attend an event, subject to the organizer's terms and venue rules. Each ticket carries a unique QR code and is single-use — duplicated, screenshotted-and-shared, or forged tickets are detected and rejected at the gate.

Tickets are non-transferable and may not be resold unless the organizer permits it. Reselling tickets above face value may be prohibited by the organizer or by law.

5. Prices, fees & payments

Organizers set their own ticket prices and currency. ASTRATICKETLOOP charges a platform commission on paid tickets — currently 8% on the Free plan and 5% on the Pro plan. Free and donation tickets incur no platform commission.

Payments are processed by trusted third-party payment providers. We do not store full card numbers. Free tickets are issued immediately; paid checkout is available where a payment provider has been enabled for the event.

Organizers authorize us to collect ticket payments on their behalf and to remit payouts (less applicable fees) to their nominated mobile-money or bank account, subject to identity/verification checks and any reasonable holds for fraud or chargeback protection.

6. Refunds, changes & cancellations

Refund and transfer eligibility is determined by each organizer's policy for the specific event. If an event is cancelled, postponed or materially changed, the organizer is responsible for handling refunds in line with their policy and applicable law.

7. Organizer responsibilities

Organizers are solely responsible for their events, including:

• Holding all necessary rights, licences, permits and insurance, and complying with all applicable laws.
• Providing accurate event details, pricing, dates and locations, and honouring valid tickets.
• The safety and conduct of their event, and handling attendee issues and refunds.
• Any taxes, levies or reporting obligations arising from their ticket sales.

8. Acceptable use

You agree not to:

• Commit fraud, sell counterfeit tickets, or attempt to duplicate, forge or bypass ticket scanning.
• Resell or scalp tickets where prohibited.
• Scrape, probe, overload, or attempt to breach the security of the Platform.
• Upload unlawful, infringing, deceptive or harmful content or images.
• Use the Platform to launder money or for any illegal purpose.

9. Content & intellectual property

Organizers retain ownership of the event content and images they upload, and grant us a non-exclusive licence to host, display and distribute that content as needed to operate and promote the Platform and their events.

The ASTRATICKETLOOP name, logo, design and software are our property and may not be used without permission.

10. Disclaimers & limitation of liability

The Platform is provided “as is” and “as available”. We do not guarantee that any event will take place as described — that is the organizer's responsibility.

To the maximum extent permitted by law, ASTRATICKETLOOP is not liable for indirect, incidental or consequential losses, or for the acts or omissions of organizers, attendees, venues or payment providers. Nothing in these Terms excludes liability that cannot lawfully be excluded.

11. Indemnity & termination

You agree to indemnify and hold ASTRATICKETLOOP harmless from claims arising out of your misuse of the Platform, your events, or your breach of these Terms.

We may suspend or terminate access to the Platform at any time for breach of these Terms or to protect the Platform and its users.

12. Governing law & changes

These Terms are governed by the laws of the Republic of Ghana, and disputes are subject to the courts of Ghana, unless mandatory local law provides otherwise.

We may update these Terms from time to time. Material changes will be reflected by an updated date at the top of this page; continued use of the Platform means you accept the updated Terms.

1. Information we collect

Depending on how you use the Platform, we may collect:

• Account information — your name, email, phone number and password (stored only as a secure hash), and your account type (such as attendee or organizer).
• Event & ticket data — events you create or buy, attendee names, ticket types, QR codes and check-in records.
• Payment information — handled by our payment providers. We receive limited transaction details (such as amount and status), not full card numbers.
• Organizer content — logos, event flyers/images, descriptions, and event locations/map coordinates you provide.
• Technical data — device and browser information, IP address and server log data, used for security and reliability.
• Cookies — see the Cookie section below.

2. How we use your information

We use your information to:

• Provide the Platform — run accounts, list events, issue tickets and check people in.
• Process payments and remit organizer payouts.
• Send transactional messages such as order confirmations and tickets.
• Prevent fraud, secure the Platform and enforce our Terms.
• Improve our products and comply with legal and financial obligations.

3. How we share your information

We share information with the event organizer when you buy a ticket to their event (they receive the buyer/attendee details needed to run the event and admit you).

We share information with trusted service providers that help us operate the Platform (such as hosting, payments and email delivery), and when required by law or in connection with a business transfer. We do not sell your personal data.

If you use our optional Premium AI features (for example, generating an event draft from a flyer you upload), the content you submit is processed by a third-party AI provider solely to produce that result. We don't use it to train models, and you review and approve everything before anything is published.

Generated event websites collect privacy-friendly, aggregated visit analytics (such as page views, anonymous daily visitor counts, traffic source and device type) to help the organizer understand performance. This uses no cookies or tracking identifiers and stores no personal data, IP addresses or full user-agent strings.

Only if you opt in, we may include event recommendations and AstraTicketLoop promotions inside transactional emails (such as your ticket receipt). You can withdraw consent at any time via the unsubscribe link in those emails — this never affects essential emails like receipts, and you are never opted in automatically.

4. Cookies

We use a small number of cookies, and we do not use advertising or cross-site tracking cookies:

• Essential — a secure session cookie that keeps you signed in.
• Preference — remembers your light/dark theme.
• Consent — remembers your cookie choice so we don't ask again.
• You can clear or block cookies in your browser, but essential cookies are required to sign in and use your account.

5. Retention & security

We keep your data while your account is active and for as long as needed to provide the service, resolve disputes, and meet legal and financial obligations.

We protect your data with encrypted connections (HTTPS), hashed passwords, cryptographically signed tickets and access controls. No system is completely secure, but we work hard to safeguard your information.

6. Your rights & contact

You may request access to, correction of, or deletion of your personal data by emailing support@astraticketloop.com. Some information may need to be retained for legal or financial reasons.

The Platform is not directed at children under 13 (or the age of digital consent in your country). Your data may be processed in countries other than your own, with appropriate safeguards.
